Website Service Agreement

1.At a glance

• The setup fee pays for the defined dental practice website build; the monthly fee pays for the ongoing services included in your selected package.
• Billing for the monthly website service begins 30 days after purchase.
• You approve the site before launch and own the final website design and content after full payment.
• If you cancel, service continues through the paid period and we provide a site export for migration.
• A technically sound dental website does not guarantee rankings, traffic, patient inquiries, or revenue.

2.What this agreement covers

This agreement applies when a dental practice purchases a Starter, Business, Local Growth, or Local Authority Smart Website. It explains what the one-time setup fee buys, what the monthly service covers, and how the build process works.

3.The two-part structure

Website engagements have two separate components, and they are billed separately for a reason.

• The one-time setup fee covers production: design, page build, content placement, mobile optimization, basic on-page SEO setup, and launch. It is a finite project with a defined deliverable.
• The monthly service covers the ongoing website, lead-management, monitoring, content-update, and—where included—local visibility, reputation, and marketing services listed for your package. It is ongoing and continues until you cancel.

4.Payment schedule

Your monthly service does not begin billing on the day you purchase. It begins 30 days after purchase.

• Starter Smart Website: $1,000 setup due at purchase. Monthly service of $197 begins 30 days after purchase.
• Business Smart Website: $2,000 setup due at purchase. Monthly service of $297 begins 30 days after purchase.
• Local Growth Smart Website: $4,500 setup due at purchase. Monthly service of $797 begins 30 days after purchase.
• Local Authority Smart Website: $4,500 setup due at purchase. Monthly service of $1,097 begins 30 days after purchase; this is the Local Growth service plus the $300/month Local Authority upgrade.

5.What the monthly service includes

• Managed hosting on infrastructure we maintain and monitor.
• SSL certificate, provisioned and renewed automatically.
• Software, plugin, and security updates.
• Daily backups with restore capability.
• Uptime monitoring with alerts.
• A monthly allowance of content edits: text changes, image swaps, updated hours, revised service descriptions, new testimonials, and contact detail updates.
• Email and phone support for questions about your site.
• Lead-management, review, Google Business Profile, social publishing, reporting, or citation features expressly included in the selected package.

6.What the monthly service does not include

When you request something outside the included scope, we tell you it is out of scope and quote it before doing the work. You will never receive an invoice for work you did not approve.

• New pages beyond your original package page count.
• Redesigns or restructuring of existing pages or navigation.
• New functionality: booking systems, CRM integrations, payment processing, member areas, calculators.
• Content writing for new pages, unless quoted separately.
• Marketing services not expressly included in the selected Smart Website package.
• Third-party license or subscription costs for tools your site depends on.

7.Timelines

The timeline starts when we have what we need from you, not on the day you pay. The most common cause of delay on these projects is waiting for content, photos, or feedback. If you go quiet, the build pauses and the timeline extends accordingly.

• Starter and Business Smart Websites: timeline confirmed after receipt of the completed intake form and assets.
• Local Growth and Local Authority Smart Websites: timeline confirmed after intake, asset, Google Business Profile, and integration access requirements are reviewed.

8.Revisions and approval

The included revision process is the process stated on your service page or written order. A round means we send you a preview, you review the whole site, and you send back consolidated feedback which we then apply.

Sending feedback one item at a time over several days consumes rounds quickly. Reviewing the site fully and sending a single list gets you the most out of your included rounds.

Additional revision rounds are available and quoted before work begins. Once you give final approval and we launch, subsequent changes fall under your monthly content edit allowance.

9.Ownership

• Your domain is registered in your name and remains yours. If you did not have a domain, we help you register one in your name.
• Your Google Business Profile stays in your Google account. We are added as a manager, and we remove ourselves when service ends.
• On full payment, you own the final website design and content produced for you.
• We retain ownership of our underlying frameworks, tools, and processes, which we reuse across projects.

10.Hosting and what happens if you cancel

Your website is hosted on our managed infrastructure as part of the monthly service. If you cancel, hosting ends at the conclusion of your final paid month.

We will export and hand off your website files so you can move to another host or provider. We do not hold your website hostage. We also cannot continue hosting, monitoring, backing up, and updating a site nobody is paying for.

Plan for a short transition period. Moving a site to new hosting is straightforward but it is not instantaneous, so give yourself time before your final paid month ends.

11.Performance and results

We build fast, mobile-friendly, technically sound websites with correct on-page SEO fundamentals. We do not guarantee search rankings, traffic, or lead volume, because those depend on your market, competition, and factors outside our control.

A well-built website is a prerequisite for being found, not a guarantee of it. If ranking in competitive local searches is your goal, that is what the local marketing plans are for.

12.Refunds

Setup fees are non-refundable once production has begun, because the work has been performed. If you cancel before we start production, we refund the setup fee in full.

Monthly service is not refunded for partial months. You retain service through the end of the period you have paid for.
